Managing Attendees, Waitlists & Transfers
Everything you need to manage your event's attendees from purchase to check-in.
Attendee List
Access your attendee list in the Attendees tab of Event Customization.
Viewing Attendees
The Registered Attendees view shows:
- Customer name and email
- Ticket type purchased
- Order date
- Check-in status
- Custom question responses
Searching & Filtering
- Search: Find by name, email, or order number
- Filter by ticket type: View specific ticket holders
- Filter by status: Checked in, not checked in
- Sort: By name, date, or ticket type
Exporting Attendee Data
- Click Export
- Choose format (CSV or Excel)
- Select which fields to include
- Download file
Use exports for:
- Name badges
- Seating arrangements
- Marketing follow-ups
- Event day checklists
Waitlist Management
When tickets sell out, enable a waitlist to capture interested buyers.
Enabling Waitlist
- Go to Event Settings or Ticket Types
- Toggle Enable Waitlist to ON
- Configure options:
- Maximum waitlist size
- Auto-notify when tickets available
How It Works
- Event sells out
- Customers join waitlist (free)
- When tickets become available (cancellations, added inventory):
- Waitlist members notified by email
- First-come, first-served purchasing
- 24-48 hour claim window
Managing the Waitlist
In the Attendees > Waitlist section:
- See all waitlisted customers
- Manually release tickets to specific people
- Remove people from waitlist
- Export waitlist data
Ticket Transfers
Allow customers to transfer tickets to others.
Enabling Transfers
- Go to Event Settings
- Find Ticket Transfers section
- Configure:
- Allow transfers: Yes/No
- Transfer deadline: How close to event
- Transfer fee: Optional fee to transfer
Transfer Process (Customer View)
- Customer logs into their account
- Goes to "My Tickets"
- Clicks "Transfer Ticket"
- Enters recipient's email
- Recipient receives email to accept
Transfer Policies

Invite-Only Events
Create exclusive events with controlled access.
Setting Up Invite List
- Go to Attendees > Invite List
- Click Add Invitees
- Options:
- Manual entry: Add emails one by one
- CSV import: Bulk upload
How Invites Work
- Create event as "invite only" in settings
- Add people to invite list
- Send invitation emails
- Only invited emails can purchase
Managing Invitations
- Track who has purchased
- Resend invitations
- Revoke invitations
- Add late additions
Communication
Bulk Emails
Send updates to all attendees:
- Go to Attendees > Registered
- Click Send Email
- Compose your message
- Select recipients (all or filtered)
- Send
Common Uses:
- Event updates/changes
- Venue directions
- Schedule announcements
- Post-event thank you
Individual Communication
Click any attendee to:
- View their order details
- Send personal email
- Add notes to their record
- Process refund if needed
Refund Requests
Viewing Requests
- Go to Attendees > Refund Requests
- See pending refund requests
- View reason and order details
Processing Refunds
- Click on a refund request
- Review the reason
- Choose:
- Approve (full or partial)
- Deny (with explanation)
- Customer is notified automatically
Refund Policies
Set your policy in Event Settings:
- Full refunds until X days before
- Partial refunds after that
- No refunds within X days
- Transfer-only option
Check-In Preparation
Before your event:
- Export attendee list for backup
- Set up TicketFloLIVE for scanning
- Brief your team on check-in process
- Test QR scanning with sample tickets
- Prepare for manual check-in backup
